For painting contractors

Run your painting crews from one app

ProHelper is robust enough to schedule two or three painting crews across multi-day projects and carry color codes, finishes, and prep specs to every site, yet simple enough that a painter pulls the full spec offline in a bare commercial shell and the finished job turns straight into a paid invoice.

The headaches of running a painting business

Color and finish specs get lost between the proposal and the crew

The Sherwin-Williams SW code, the sheen, the accent wall the customer picked at the walkthrough never makes it from the estimate to the painter on site. ProHelper keeps colors, finishes, surfaces, and prep notes on the Job with photos attached, so the crew sees exactly what was sold.

You're guessing at margins because material costs aren't tracked per job

Misjudge paint and primer on an interior repaint and a 35% margin job quietly becomes a 20% one. Build estimates from an Items price book with your real labor and material rates, then convert straight to an Invoice so the numbers carry through.

Coordinating two or three crews across different sites is a phone-tag nightmare

Crew A on an exterior repaint, Crew B on an HOA interior, and you're calling each lead every hour. A shared Scheduling calendar and Route building puts every Visit, every crew, and every address in one place.

Per-user pricing punishes you for adding painters

Many tools jump to $189-$500+/month once you pass five seats. ProHelper is a flat $35 per user on Essentials, so adding a painter or office admin is a predictable cost, not a penalty for growing.

Built for Painting

Everything you need to run painting

The full platform, tuned to the way your trade actually works, with enterprise-grade capability you can run yourself, no consultants required.

Estimates built on your real paint and labor rates

Create line-item Estimates for walls, ceilings, trim, prep, and primer using a reusable Items price book. Add notes for coats, coverage, and color codes, attach walkthrough photos, then convert the approved Estimate to an Invoice in one step.

Schedule crews across multi-day projects

Break a job into Visits for prep, prime, paint days, touch-up, and the final walk. Drag them onto the Scheduling calendar, assign crews, and build efficient Routes between job sites.

Colors, finishes, and prep notes that travel to the field

Store color codes, sheen, surfaces, and product selections as Notes on each Job, with before, during, and after photos attached. Your crew sees the full spec on their phone, on or off site.

Works offline at the job site

Spotty signal inside a new-construction commercial shell or a basement? My Day, day packs, and a photo queue let painters log work, snap progress photos, and update Visits offline. Everything syncs when they reconnect.

Deposits, invoices, and online payments

Send Estimates and Invoices by email, collect deposits before the job starts, and take card or ACH payments online. QuickBooks sync keeps your books clean without double entry.

Online booking and lead capture for repaints

A built-in online booking page and Requests inbox capture new repaint and commercial bid leads, turn them into Accounts and Properties, and keep every quote, photo, and conversation in one CRM.

How it works

A painting job, start to finish

01

Win the job

A homeowner or property manager submits a Request, or you log one after a walkthrough. Build a line-item Estimate with surfaces, coats, colors, and prep, attach site photos, and send it for approval with a deposit.

02

Schedule the crew

Convert the approved Estimate to a Job and split it into Visits for prep, prime, paint days, and final walk. Drop them on the calendar, assign Crew A or Crew B, and build the Route between sites.

03

Do the work

Painters open My Day on their phones, see colors, finishes, and prep notes, and log progress and punch-list items with photos, even offline. Office staff watch status update live as Visits complete.

04

Get paid

On the final walk, convert the Job to an Invoice that carries the agreed pricing through. Collect the balance by card or ACH online, and sync it all to QuickBooks.

We were juggling color specs on sticky notes and chasing crew leads by phone across three job sites. Now every estimate, color code, and progress photo lives on the job, and my painters pull it up on their phones even with no signal in a new-construction shell. Quoting to getting paid finally feels like one workflow.

FAQ

Painting software questions

Yes. Use Accounts and Properties to manage everything from single-family repaints to HOA buildings and multi-site commercial jobs. Each Property keeps its own job history, colors, and photos, so a recurring commercial client's specs are always one tap away.

Not automatically. ProHelper builds line-item Estimates from your Items price book with your own labor and material rates, and you enter quantities. Coverage-rate auto-math is not available today, but you can save reusable line items for common room sizes and surface types to speed up quoting.

Yes. ProHelper is offline-first. With My Day, day packs, and the photo queue, painters can view colors and notes, log work, and capture before and after photos with no connection, then everything syncs automatically once they're back online.

Store color codes, sheen, surfaces, and product selections as Notes on the Job, with reference photos attached. The crew sees the full spec in My Day on their phones, so the SW code from the proposal never gets lost on the way to paint day.
